    ConvenientMD Urgent Care offers convenient access to high quality medical care, at the most affordable rates around. Patients can just walk in, without making an appointment, from 8am to 8pm, seven days a week. Patients are typically in and out in under one hour and there is always a full medical team on site. The center has friendly staff who provide world-class customer service with state-of-the-art medical equipment, including digital x-ray, lab, EKG and IV equipment. ConvenientMD’s expert medical team is ready and equipped to treat a broad range of injuries and illness.

     

    ConvenientMD has NH locations in Bedford, Concord, Dover, Exeter, Keene, Merrimack, Nashua, Portsmouth, and Windham. Maine locations include Westbrook and Portland, with additional locations opening throughout New England.

    Responsibilities

    Summary of the Position

     

    The Marketing Coordinator/ Associate will report to the Head of Marketing, assisting the sales and marketing team with daily operations and execution of the company’s strategy. This position will be responsible for assisting with many facets of ConvenientMD’s sales and marketing efforts. The key functions of the job include, but are not limited to, the following:

     

    Online and Social Media

    • Coordinate and execute all aspects of the company’s social media, including Facebook, Instagram, Twitter, LinkedIn, as well as other social media platforms and online directories
    • Work with the Company’s graphic designer to design and continuously switch out online / social media ads, based on the Company’s campaign schedule
    • Reply to questions and feedback on social media posts
    • Track online reviews
    • Update and maintain website content and photos
    • Update online directory listings with new content, campaigns, and photos
    • Respond to requests for more information via the website’s “Contact Us” forms, or forward them to the appropriate recipient

     

     

    Public Relations / Content

    • Coordinate with clinical team members, general public, and PR consultants to develop content based on campaign schedule
    • Responsible for launching the campaigns across various mediums

     

    Marketing Events

    • Help coordinate, schedule and organize marketing events for management, community relations team, and practice managers

     

    Billboards/Banners

    • Maintain and update list of ConvenientMD’s current banners and billboards in our CRM
    • Manage the process of changing banner and billboard advertisements according to a creative strategy
    • Draft and execute agreements for custom sponsorships, based on direction from marketing team
    • Work with ConvenientMD’s graphic designer and vendors / facilities to create and update banners.
    • Coordinate all vendor communications
    • Coordinate banner delivery and confirmations of installation.

     

    Graphic Design Coordination

    • Update and maintain design log for graphic designer
    • Interface with head of department, as well as various other team members / internal departments and consultants to prioritize and organize the timely completion of design work
    • Meet with graphic designer on weekly basis to review / update design log and provide insight into priority items
    • Track design projects and submit total to Accounts Payable to pay ConvenientMD’s graphic designer.

     

    Photography Coordination

    • Help coordinate photo shoots. Coordinate with photographer, find and schedule models, schedule participating ConvenientMD team members, and create shoot schedules with sample images.
    • Maintain list of scenes/images that ConvenientMD currently has and those that are still needed.
    • Schedule and coordinate facility photo shoots.

     

    Marketing Campaign and Temporary Signage

    • Work with the appropriate town department to complete permit process for temporary signage prior to specific marketing campaigns (2-3x per year)
    • Complete city applications for temporary signs
    • Coordinate with sign vendor on schedule to install and remove signs (can be multiple times per campaign) based on permit and schedule from the town.

     

    Marketing Supplies Management

    • Manage marketing material supply levels and budget for print/branded materials
    • Track budget for supply levels and provide update to head of department on monthly basis
    • Work with print vendors to coordinate bulk orders of materials
    • Help support clinics, sales team, and head of department with special order print requests

     

    Tracking & Task Management

    • Log all communications with outside vendors and key partners in CRM
    • Update CRM with new contacts
    • Track all campaigns in CRM as well as updated existing campaigns when they change
    • Update Task / Project Management software with all open items, bucketed between priority levels
    • Maintain, update, and organize materials/files on shared drive

     

    Data and Reporting

    • Download, consolidate, and share key data from EMR, CRM, and other systems on a monthly basis.
    • Organize data and analytics in shared drive and upload to Business Intelligence tool
    • Download and share Business Intelligence reports to various departments on a monthly basis
    • Send reports to sales team, as well as other departments, on a monthly basis

     

    Marketing Invoices

    • Review and itemize marketing invoices for Accounts Payable.
    • Assist with expense management and tracking for marketing budget

    Qualifications

    Job Requirements and Preferred Qualifications

     

    • Extremely well organized and ability to efficiently manage multiple tasks at the same time
    • Enjoys tracking open items and working off a prioritized checklist
    • Ability to organize their time most effectively to complete tasks accurately and on schedule
    • Savvy with technology and strong ability to learn new online systems / platforms (CRM, EMR, Business Intelligence, as well as other systems in the company’s technology stack)
    • Strong understanding of social media
    • Ability to problem solve and work independently, as well as with others, to get tasks completed
    • Dynamic team player with a positive attitude
    • Proficiency in Microsoft Office suite, including Excel, PowerPoint, and Word

     

    We believe the role will be an ideal fit for someone that is highly organized, detail-oriented, and enjoys completing tasks accurately and on schedule. This is an entry level role for someone with approximately 2-5 years of experience.
